- Maintain a centralized document control system for both digital and physical records.
- Ensure proper classification, storage, retrieval, and archiving of documents.
- Manage controlled documents such as SOPs, work instructions, inspection records, certificates, and correspondence.
- Control issuance, revision, and distribution of engineering drawings, quality documents, and specifications.
- Ensure obsolete documents are removed from active use and archived properly.
- Track document versions, approvals, and update logs in coordination with relevant departments.
- Support internal and external audits by providing required documentation and records.
- Ensure all documents comply with ISO standards (e.g., ISO 9001, ISO 14001) and company policies.
- Maintain confidentiality and data integrity of sensitive information.
- Assist QA, HSE, and Production teams in document formatting, reporting, and database management.
- Prepare document templates and standard formats for consistency.
- Track and monitor records such as calibration certificates, training records, material test certificates, etc.
- Coordinate with department heads, supervisors, and external partners regarding document requirements.
- Provide training and support to employees on document control procedures and software.
- Liaise with suppliers or contractors for documentation submissions and transmittals.
- Diploma or Bachelor's degree in Business Administration, Information Management, or a relevant field.
- 3โ5 years of experience in a document control role, preferably in a manufacturing or engineering environment.
- Familiarity with ISO standards, quality documentation, and foundry industry terminology is an advantage.
- Proficient in MS Office (Excel, Word, Outlook) and document control software or ERP systems.
- High attention to detail, strong organizational skills, and excellent filing/recordkeeping habits.
- Good communication and coordination abilities.
- Knowledge of confidentiality protocols and data protection regulations.
