- Handling administrative tasks both in and out of the office.
- Managing document and package collection and delivery to and from clients promptly.
- Procuring office supplies as needed and liaising with external vendors for their delivery.
- Assisting Operations suppliers with invoice management.
- Overseeing the mailroom and main storage areas in the office.
- Providing production support such as printing, binding, copying, etc., when necessary.
- Restocking stationery cupboards and maintaining stock levels.
- Maintaining cleanliness in work areas including printing rooms, meeting rooms, and storage areas.
- Assisting the reception team and other staff with administrative tasks as needed.
- Coordinating with catering suppliers for office events and meals.
- Monitoring and restocking pantry/kitchen supplies.
- Overseeing office maintenance tasks such as AC maintenance, painting, lighting, etc.
- Updating maintenance records regularly.
- Managing storerooms in the office.
- Obtaining permissions for workshops and building access.
- Managing the office access card system.
- Coordinating with office attendants and housekeeping for daily tasks and ad-hoc requests.
- Ensuring office health and safety by replenishing first aid kits and testing defibrillator batteries.
- Being available after hours or on weekends for urgent maintenance or safety inspections.
- Assisting in duties during the absence of Operations Specialist - Facilities and services.
- Performing any other assigned office duties.
- Strong verbal communication skills; fluency in English and Arabic
- Proficient level computer skills; Windows, Word, Excel, PowerPoint, Outlook
- Familiarity with technical support/office equipment
